Terms for Churches

The agreement between Firestarter Inc. and the church that uses Ekklesia PH.

Last updated: October 10, 2026 · Version 2

Summary: Ekklesia PH is record-keeping software for churches, operated by Firestarter Inc. Your church owns the information it enters and is responsible for it. We keep the platform running and keep your data safe. We do not handle money, do not process payments, and do not take a position on your church's own tax or reporting obligations. If you are an individual member rather than a church, read our Terms of Service instead.

1. Who We Are

Ekklesia PH is operated by Firestarter Inc. ("we", "us", "the platform"). In these terms, "you" means the church, congregation, or other organisation that creates a workspace — and the people it authorises to act on its behalf.

These terms govern your church's use of the Ekklesia PH web admin panel and the Ekklesia PH mobile application. How we handle personal information is set out separately in our Privacy Policy, which forms part of this agreement.

2. Agreement to These Terms

By creating a workspace, or by continuing to use one, you accept these terms on your church's behalf. The person who creates the workspace confirms they are authorised to bind the church to them.

If you do not have that authority, or your church does not accept these terms, the workspace should not be created or used. You can close it at any time — see section 7.

This service is intended for adults. You must be at least 18 years old to hold an account; the service is not directed to children.

3. What Ekklesia PH Is

Ekklesia PH is a record-keeping tool. Churches use it to keep track of members, events and attendance, giving records, announcements, assets, and reports, and to give their members a mobile app for those things.

It is not a payment processor and it does not move money. Contributions that members give to your church are received by your church — by whatever means your church already uses. Where the app lets a member attach a receipt or proof of payment to a giving record, that is a note your church keeps; the platform is not a party to the transaction and cannot reverse, refund or guarantee it.

The platform does not offer in-app purchases or consumer subscriptions, and does not process payments inside the mobile application.

4. Your Church's Responsibilities

Your church is responsible for:

  • The information it enters. You decide what member information to record, and you are responsible for having a lawful basis to hold it. Within your workspace, your church is the controller of that information and we act as its processor.
  • Tax, receipting and regulatory obligations. Recording a contribution in Ekklesia PH has no tax effect by itself. Issuing receipts, reporting income, and complying with the BIR and any other authority are your church's responsibilities. We do not file, report or advise on any of it.
  • Who you give access to. Your administrators decide which people hold which permissions. Actions taken by an account you authorised are treated as your church's actions.
  • Notifying your members. Where your church must tell members how their information is used — including for the mobile app — that notice comes from your church.

5. Our Responsibilities

We will keep the platform available and working to a reasonable standard, keep the security practices described in our Privacy Policy, provide support, and give reasonable notice of material changes.

We do not warrant that:

  • the service will be uninterrupted or free of errors;
  • the platform is suitable for any particular legal, tax or accounting purpose;
  • information you or your members enter is accurate or complete.

Keep your own records for anything the law requires you to retain. The platform is a convenience, not your system of record for statutory purposes.

6. Acceptable Use

You and everyone you give access to may not:

  • use the platform to break any law, or to infringe anyone's rights;
  • upload content that is unlawful, defamatory, harassing, or that you do not have the right to share;
  • enter another person's information without a lawful basis for holding it;
  • attempt to access another church's workspace, or probe, scan or overload the service;
  • resell, sublicense or white-label the platform without our written agreement.

You keep ownership of the content your church enters. You give us only the permission needed to host, process and display it so the service can work.

7. Accounts, Suspension and Termination

Leaving. Your church may stop using the platform at any time. A workspace administrator can close the workspace, and an individual account can be deleted from the app (Profile → Delete Account) or from the web at /account-deletion.

When we may suspend. We may suspend or close a workspace if these terms are broken, if we are required to by law, if a workspace is used in a way that puts other churches or the platform at risk, or if the workspace is not paid for where payment is due. Except where the law or an urgent risk of harm requires otherwise, we will tell you before we do.

What happens to records when a workspace closes is described in our Privacy Policy. Some records must be kept even after closure — see the section on retention there.

8. Fees and Payment

Ekklesia PH does not process payments in the mobile app. The app contains no in-app purchase and no consumer subscription. Nothing in the app can be bought, and we never receive card details through it.

Any plan or fee for a church's use of the platform is arranged directly with us, outside the app stores, and is invoiced separately. Apple and Google are the storefronts through which the mobile application is distributed; they are not payment processors for anything you buy from us.

Contributions that members give to your church are between the member and your church. We are not a party to them, are not their merchant of record, and cannot refund them. Any question about a contribution should go to the church that received it.

9. Limitation of Liability

To the extent the law allows, Firestarter Inc. is not liable for indirect or consequential loss, loss of profit or goodwill, or loss of data arising from your use of the platform. Our total liability for any claim relating to the service is limited to the amount your church paid us for the twelve months before the claim arose.

Nothing here excludes liability that cannot lawfully be excluded. Because the platform helps you keep records, you should not rely on it as your only copy of anything you are legally required to retain.

10. Reports Against Your Church, and Consequences

Members can report content published by your church, and can report your church page itself. Reports are confidential: we do not tell you who reported you. A church that can identify its critics will act on them, and the reporting system exists to protect the members who use it.

Where content breaks these terms, we may remove it from view. Removal is reversible — the content is kept, and we record the status it held beforehand so that it can be restored exactly as it was. Every removal and every consequence appears on your church's moderation history, marked as either decided automatically by a threshold or decided by a person.

Repeated breaches escalate: the first is a warning, the second pauses publishing new content for a period, and the third is referred to a person to decide. We do not close or suspend your church's account automatically, and you may ask us to review any decision.

You are responsible for what your administrators publish on your church's behalf, and you should make sure they know these terms.

11. Governing Law, Changes and Contact

These terms are governed by the laws of the Republic of the Philippines, and disputes are subject to the exclusive jurisdiction of the courts of the Philippines.

We may update these terms as the platform changes. The date at the top of this page is the date of the current version; we will give reasonable notice of material changes, and continuing to use the service after a change means you accept it.

Questions about these terms, or about how your church's information is handled, go to privacy@ekklesiaph.com. General support questions go to support@ekklesiaph.com.
